Terms and Conditions

These Terms explain how SYNKii works as a SaaS platform for music teachers, students, parents, and child learners.

Each teacher enters into a separate agreement with SYNKii. Each adult student, or parent or guardian arranging access for a child, separately accepts these Terms for the relevant account. Teaching services are governed by a separate agreement between the teacher and the adult student or parent or guardian.

1. About these Terms

These Terms and Conditions apply when you access or use SYNKii, including the SYNKii website, dashboard, teacher tools, student tools, parent tools, child learner experience, marketplace discovery features, AI lesson-note features, recordings, practice tools, messaging, invoicing tools, and related services.

By creating an account, subscribing to a teacher plan, accepting a teacher invitation, using a child account, using marketplace discovery, uploading content, recording a lesson, or continuing to use SYNKii, you agree to these Terms.

If you use SYNKii on behalf of a school, studio, organisation, child, or household, you confirm that you have authority to do so.

Adults and organisations

You must be at least 18 to create a teacher, parent or guardian, organisation administrator, or independent adult account. If you act for an organisation or household, you confirm that you have authority to manage the relevant learner account.

Child and teen learners

A person under 18 may use only the age-appropriate learner experience approved through SYNKii's guardian or authorised-organisation flow. A teacher may send an invitation but cannot accept legal terms for the child.

Mandatory rights

If local law gives you mandatory rights that conflict with these Terms, those rights apply. Nothing in these Terms removes statutory consumer rights that cannot lawfully be excluded.

2. What SYNKii is

SYNKii is a SaaS software platform for music teachers, students, and parents.

3. What SYNKii is not

  • A music school
  • A teaching agency
  • An employer of teachers
  • A supervisor of teachers
  • A guarantor of lesson quality
  • A guarantor of exam results
  • A guarantor of safeguarding compliance or future conduct
  • A payment intermediary for lesson fees unless a separate payment feature is expressly introduced
  • Responsible for lesson refunds, cancellations, attendance, teaching style, lesson content, or disputes between teachers and students or parents, except where the issue relates directly to SYNKii software

Teachers are independent

Teachers are independent professionals. Students and parents choose teachers independently, and lessons are arranged directly between the teacher and student or parent.

4. Account types and roles

SYNKii supports different account types and role profiles.

Teacher account

Used by an independent teacher, school teacher, studio teacher, or organisation user to manage students, lessons, resources, recordings, invoices, messages, teacher profile information, and marketplace visibility.

Adult student account

Used by a learner who manages their own learning, teacher relationships, practice, lesson notes, recordings, invoices, messages, and resources.

Parent or guardian account

Used to manage one or more child learners, child permissions, teacher relationships, child practice data, messages, resources, and invoices.

Parent plus learner account

A parent or guardian may also be a learner. In that case, the account may include separate profile modes, such as parent mode and adult learner mode.

Child account

A restricted learner experience for practice, goals, resources, rewards, upcoming lessons, and teacher encouragement. Child accounts do not provide billing controls, subscription controls, legal acceptance controls, unrestricted marketplace browsing, or unrestricted teacher search.

Household account

A household may include one or more parents or guardians and one or more child learners. Each child has separate learning data, while certain household-level functions, such as invoices and guardian messages, may be shared.

Teachers subscribe to SYNKii as software.

Teacher fees are separate from lesson fees

Teacher subscriptions are separate from any lesson fees charged by teachers to students or parents. SYNKii does not take lesson commission. Unless stated otherwise, teacher subscription fees are charged for access to the software and are not payments for teaching services.

Free trials, billing cycles, cancellations, plan changes, and refund rules are described on the Pricing page and in the billing area of the teacher dashboard.

If you subscribe as a consumer, statutory cancellation, conformity and refund rights may apply. A free trial does not remove those rights.

Teacher introductions and lesson arrangements

Where SYNKii introduces a student or guardian to an independent teacher, the purpose is to help them connect with a teacher who uses SYNKii to support their learning experience. SYNKii provides the introduction and teaching software; it does not manage a marketplace of lessons or provide the lessons itself.

The teacher and student, or the student’s parent or guardian where appropriate, agree their lesson arrangements directly. These include lesson fees, timing, teaching format, cancellations and refunds. The teacher is responsible for delivering the lessons and for their professional and safeguarding obligations. An introduction does not guarantee a booking, a particular teaching outcome or a continuing relationship.

SYNKii does not take a percentage commission from teachers’ lesson fees. The software subscription is separate from lesson charges. Third-party payment providers may charge their own processing fees. Using SYNKii does not cancel any agreement or fee obligation a teacher or student has with another introduction or booking service.

This explanation does not limit statutory rights or SYNKii’s own responsibilities for its software, data protection and safeguarding processes. Platform concerns can be reported through our reporting page.

6. Marketplace discovery

Discovery layer only

SYNKii may provide a marketplace discovery feature that helps students and parents find independent music teachers. The marketplace is a discovery layer only.

Use of public teacher profiles, enquiries, rankings, reviews and marketplace moderation is also governed by the Marketplace Terms.

Student and parent choice

Students and parents are responsible for reviewing teacher profiles, precise verification signals, teaching style, availability, lesson policies, safeguarding information, pricing, and suitability before starting lessons.

Lessons arranged directly

Lesson arrangements are agreed directly between teacher and student or parent. SYNKii does not take lesson commission on lessons arranged through the marketplace.

7. Marketplace requests

Students and parents may contact teachers or send lesson requests through SYNKii marketplace features.

A marketplace request does not create a confirmed lesson until the teacher and student or parent agree the details.

Teachers may accept, decline, ask a question, mark themselves at capacity, pause marketplace visibility, or archive requests.

If a teacher accepts a request, the student or parent may still need to accept the teacher relationship, teacher policies, and data sharing settings before the relationship becomes active.

8. Teacher verification signals

SYNKii may display verification signals on teacher profiles. Exact criteria are published in the Verification Standards.

Trust signals, not guarantees

Verification signals describe evidence reviewed at a point in time. They are not guarantees of lesson quality, exam results, safeguarding compliance, safety, professional conduct, availability, refunds, or future behaviour.

Identity checks

Email verified, Phone verified, Government ID verified, and Live identity match completed are separate checks. They should not be collapsed into a vague combined badge.

Qualification checks

Qualification evidence reviewed means SYNKii reviewed submitted evidence for consistency and identity match. Qualification issuer confirmed is displayed separately only where an issuer or authorised service confirmed the credential.

DBS (Disclosure and Barring Service) checks

DBS evidence reviewed means SYNKii reviewed evidence of certificate type, workforce, issue month/year and review date. DBS certificates have no official expiry date. Update Service status is shown only where an authorised status check was completed.

Badge changes and appeals

SYNKii may refuse, remove, pause, or change signals if information is incomplete, inaccurate, disputed, no longer current, or inconsistent with platform safety expectations. Teachers may correct inaccurate information, submit fresh evidence, and challenge a decision through Platform Notices.

Profile status is separate

Profile complete, accepting enquiries, uses SYNKii teaching tools, and subscription active are commercial or availability statuses, not identity, qualification or DBS checks.

  • The advice or feedback they provide

Teachers must not misrepresent SYNKii

Teachers must not present themselves as employed, certified, endorsed, or quality-guaranteed by SYNKii unless SYNKii gives explicit written permission.

Students and parents are responsible for

  • Choosing a suitable teacher
  • Reviewing teacher profile information
  • Asking questions before starting lessons
  • Agreeing lesson fees and policies directly with the teacher
  • Following teacher cancellation and rescheduling policies
  • Supervising child learners where appropriate
  • Keeping account information accurate
  • Using SYNKii respectfully and safely
  • Not uploading unlawful, harmful, or infringing content

Parents and guardians are responsible for managing child account permissions and ensuring the child learner uses SYNKii appropriately.

11. Payments, invoices, and no lesson commission

Invoicing tools

SYNKii may provide invoicing tools for teachers. Invoices created through SYNKii are tools for teacher administration.

Lesson payments are direct

Unless SYNKii expressly introduces a separate payment processing feature, lesson payments are arranged directly between teacher and student or parent. SYNKii does not take lesson commission.

Refund and payment disputes

SYNKii is not responsible for lesson fee refunds, missed lessons, cancellation disputes, payment disputes, or attendance disputes between teachers and students or parents. Teacher subscription fees paid to SYNKii are separate from lesson fees paid to teachers.

12. Lesson recordings

SYNKii may allow teachers, students, or parents to create, upload, store, share, download, or delete lesson recordings.

Lesson recordings may include audio, video, screen share, MIDI data, lesson-room activity, transcript data, or related metadata.

Recording features must show a clear indicator and identify when recording starts. The person who records or uploads a recording must ensure they have required permissions from participants. Teachers are responsible for obtaining appropriate consent before recording lessons, especially where children are involved. Parents or guardians must manage consent for child learners where required.

Recordings should only be used for legitimate teaching, learning, accessibility, safeguarding, review, progress, or support purposes. Covert recording, hidden local capture, and public sharing without permission are prohibited.

SYNKii may provide recording storage limits, download tools, deletion tools, archive settings, or storage upgrade options.

13. AI lesson notes and automated features

SYNKii may provide AI-supported features such as lesson summaries, action items, practice plans, transcription, topic tracking, progress suggestions, teacher note drafts, parent-facing summaries, and student-facing practice guidance.

AI outputs are generated to support teaching and learning. They are not a substitute for teacher judgement. Teachers remain responsible for reviewing, editing, approving, and deciding whether to share AI-generated lesson notes or practice tasks. AI is not medical, legal, safeguarding, or psychological advice.

SYNKii does not use private lesson recordings, transcripts, child personal data, or private relationship content to train general-purpose AI models by default. Any materially different optional use would require a separate, clear adult choice and updated privacy information, and would not be enabled by default for children.

Approved AI providers may process inputs as contracted processors to deliver the requested feature. The Privacy Notice and current subprocessor register describe relevant categories, transfers, and retention.

14-20. User content, ownership, platform IP, licence, sharing, and export

14. Ownership of user content

You retain ownership of content you upload to SYNKii, subject to any rights held by others. User content may include lesson materials, PDFs, MusicXML files, MIDI files, audio files, video files, recordings, messages, practice logs, uploaded documents, student profile information, teacher profile information, lesson notes created manually, invoices created by teachers, comments, and feedback.

You must only upload content that you own, have permission to use, or are legally allowed to upload.

15. Ownership of teacher-created content

Teachers retain ownership of original lesson materials, manually written lesson notes, assignments, resources, profile text, teaching plans, invoices, and other content they create, subject to any rights held by others.

Teachers grant SYNKii permission to host, process, store, display, transmit, adapt, and share teacher-created content as needed to provide the service and operate the teacher-student relationship.

16. Ownership of student and parent content

Students and parents/guardians retain ownership of their uploaded recordings, practice logs, profile information, messages, comments, uploaded resources, and other personal content, subject to any rights held by others.

Students and parents grant SYNKii permission to host, process, store, display, transmit, adapt, and share their content as needed to provide the service and operate approved teacher-student or parent-teacher relationships.

17. AI-generated content ownership and usage

SYNKii owns all rights in respect of the software, AI systems, prompts, templates, workflows, designs, models, interfaces, and platform technology used to generate AI-supported outputs, in respect of which, users and parties to these Terms do not acquire any ownership or any other rights, save as expressly provided for in these Terms.

Users may however access, download, use, and share AI-generated notes, summaries, action items, practice plans, and related outputs created for their own account or approved teacher-student relationship, subject to these Terms, privacy settings, copyright restrictions, and relationship permissions.

SYNKii does not claim ownership of the underlying user content used to generate AI outputs. SYNKii may use AI outputs, inputs, metadata, and feedback to provide, secure, maintain, debug, and improve the service, as described in the Privacy Notice and subject to applicable privacy settings and legal requirements. Private lesson recordings, transcripts, child personal data, and private relationship content are not used to train general-purpose AI models by default.

Users must not attempt to commercially resell, redistribute, or publish AI-generated content in a way that violates another person's privacy, intellectual property, or rights.

18. SYNKii platform intellectual property

SYNKii owns or licenses the platform, website, dashboard, visual design, software code, workflows, brand, logos, product names, icons, templates, AI systems, and service features.

You must not copy, reverse engineer, scrape, reproduce, resell, or create a competing service using SYNKii platform materials except by written agreement of SYNKii.

19. Licence granted to SYNKii

To provide the service, you grant SYNKii a non-exclusive, worldwide, royalty-free licence to host, store, copy, process, transmit, display, format, adapt, translate, and use your content as needed to provide the platform, operate teacher-student relationships, generate lesson notes and practice tools, store resources and recordings, provide messages and notifications, create reports and dashboards, provide support, secure the platform, debug errors, prevent abuse, and improve the service.

This licence lasts only as long as needed for the purposes described in these Terms and the Privacy Notice, unless a longer period is required by law, dispute resolution, security, backup, or legitimate operational needs.

20. Sharing and exporting content

Users may export content they are permitted to access. Teachers may export their own student records, lesson notes they created, teacher-created resources, invoices they created, messages in their teacher relationships, recordings they are permitted to access, and marketplace profile content. Students may export their own practice logs, uploaded recordings, resources, lesson notes where available, learning history, messages in their relationships, and invoices addressed to them. Parents may export child learning records they manage, child practice records, child lesson notes where available, child resources, household invoices, and messages relating to managed children.

Export rights may be limited by privacy rights, safeguarding concerns, another user's rights, copyright, legal duties, or technical limitations.

21. Data sharing and relationship boundaries

SYNKii uses relationship-based permissions.

Teacher can see

  • Students who accepted that teacher relationship
  • Lesson notes created by that teacher
  • Assignments created by that teacher
  • Practice reports shared with that teacher
  • Resources shared within that relationship
  • Invoices created by that teacher
  • Messages in that relationship

Teacher cannot see

  • Notes from another teacher
  • Recordings from another teacher
  • Private student journal entries
  • Parent household billing outside their own invoices
  • Other teacher relationships
  • Marketplace requests not addressed to them

Student with multiple teachers

An adult student can see their own profile, teachers, practice logs, lesson notes, recordings, resources, invoices, and messages. A student may learn with multiple teachers and see combined learning history across teachers, separated by teacher workspace. Teachers do not see each other's notes, recordings, assignments, or private relationship data.

Parent

A parent or guardian can see managed child profiles, child lessons, child practice reports, child resources, teacher messages according to settings, household invoices, and child login handoff tools.

Child

A child can see practice tasks, goals, rewards, approved resources, upcoming lessons, and teacher encouragement. A child cannot see billing, subscription controls, legal settings, marketplace browsing, unrestricted teacher search, guardian-only messages, or data export/delete controls.

22. Parent and child accounts

A teacher may send an invitation, but a child account is not activated until a parent, guardian, or authorised organisation completes the required approval flow. A teacher cannot accept legal terms for a child.

Parents and guardians control child profile settings, child privacy settings, teacher connections, child permissions, marketplace requests for the child, billing, subscription-related actions, legal acceptance, and data export and deletion requests where permitted.

Children do not accept full legal terms directly inside the child dashboard. SYNKii may provide child-friendly explanations, but legal acceptance must be handled by the parent, guardian, or authorised organisation.

23. Official documents and verification evidence

SYNKii may request or process verification evidence for marketplace trust and safety purposes. Verification evidence may include email or phone verification, government ID, selfie or liveness checks, qualification documents, diplomas, music exam certificates, teaching certificates, DBS or country-equivalent evidence, insurance evidence, and profile evidence.

Identity checks

Where possible, government ID and liveness checks should be handled through specialist providers. SYNKii stores outcomes and minimal metadata where possible, such as provider reference, verified name, country, status, and review dates, rather than retaining full identity images.

Qualification evidence

For qualification evidence, SYNKii may store evidence or metadata as needed to review, display, maintain, or audit a Qualification evidence reviewed or Qualification issuer confirmed signal.

DBS evidence

For DBS or country-equivalent evidence, SYNKii stores minimal metadata where possible, such as certificate type, relevant workforce, issue month/year, SYNKii review date, review-due status, and Update Service status-check date where applicable. Certificate numbers, identity images, dates of birth, home addresses, raw biometric templates, and unnecessary evidence are not public.

Full identity, qualification, or DBS evidence is deleted promptly after review, normally within 30 days, unless a documented legal, fraud, or appeal reason requires temporary retention.

24-25. Data retention, account closure, export, and deletion

24. Data retention

SYNKii keeps data only for as long as reasonably needed for the purposes described in these Terms, the Privacy Notice, account settings, legal obligations, safety, security, dispute handling, backup, and legitimate operational needs. Retention may vary by data type.

  • Active account data is usually kept while the account remains active
  • Archived teacher-student relationships may remain available as read-only history
  • Recordings may be subject to storage limits, archive settings, or deletion controls
  • Invoices may be retained for accounting and legal reasons
  • Verification metadata may be retained to support trust badges and audit history
  • Full identity, qualification or DBS evidence is deleted promptly after review, normally within 30 days, unless temporary retention is necessary
  • Inactive accounts may be archived or deleted after reasonable notice where appropriate

SYNKii may retain backup copies for a limited period after deletion, subject to technical and legal limitations.

25. Account closure, export, and deletion

Users may request export or deletion of their account data, subject to legal, safety, accounting, security, dispute, relationship, and technical limitations.

If a teacher leaves SYNKii, the teacher may export their own studio records where permitted, active teacher-student relationships may be ended or archived, students should not lose their own learning history without notice, marketplace listings may be removed, and subscription access may end according to the plan rules.

If a student leaves a teacher, the relationship may become archived, past lesson history may remain read-only, active messaging may stop by default, teacher-created notes may remain available according to settings and rights, and student-owned learning history remains available to the student where technically and legally possible.

If a child becomes an adult, SYNKii may provide a process to convert the child account into an adult learner account while preserving appropriate learning history. Parental access may change according to law, product settings, and the new adult user's choices.

26. Acceptable use

You must not use SYNKii to break the law, harm, exploit, harass, or abuse another person, upload illegal or infringing content, impersonate another person, misrepresent teacher qualifications, identity, DBS or safeguarding-related status, or experience, bypass child safety controls, scrape the platform, attack or disrupt the service, upload malware, reverse engineer the platform except where legally permitted, misuse AI tools, share recordings without permission, infringe copyright or intellectual property rights, spam or scam users, create fake reviews, manipulate marketplace rankings, or use the marketplace to arrange unsafe, fraudulent, or abusive interactions.

27. Safeguarding and reporting concerns

Teachers, students, and parents or guardians must use SYNKii safely and responsibly. Teachers are responsible for their own safeguarding obligations, including any duties that apply in their country, role, teaching context, and student age group.

SYNKii may provide child-safe account controls, guardian visibility, precise verification signals, marketplace reporting, and safeguarding guidance. SYNKii does not supervise lessons and does not guarantee future conduct.

Users should report serious concerns to SYNKii and, where appropriate, to relevant authorities. SYNKii may suspend accounts, remove marketplace listings, restrict messaging, preserve records, or cooperate with authorities where necessary for safety, security, legal compliance, or platform integrity.

28. Reviews and marketplace content

Students and parents may be able to leave reviews or feedback about teachers. Reviews must be honest, relevant, and based on genuine experience.

SYNKii may moderate, remove, hide, or investigate reviews that appear fake, abusive, discriminatory, defamatory, irrelevant, manipulated, unsafe, or in breach of these Terms. Reviews reflect user opinions and are not SYNKii endorsements.

Teacher profile content is provided by teachers unless otherwise stated. Teachers are responsible for keeping profile content accurate and up to date.

29-30. Availability, service changes, third-party services, AI, and beta features

29. Availability and service changes

SYNKii aims to provide a reliable service, but does not guarantee that the platform will always be available, uninterrupted, error-free, or compatible with every device, browser, operating system, MIDI device, audio setup, internet connection, or teaching workflow.

SYNKii may update, change, pause, remove, or add features from time to time. Some features may depend on third-party services, including cloud hosting, identity verification, payment infrastructure, AI providers, email providers, analytics, video, audio, storage, or communication services. Third-party service failures may affect SYNKii features, for which SYNKii has no responsibility.

30. AI and beta features

Some SYNKii features may be marked as beta, preview, experimental, or AI-supported. Beta and AI features may be changed, limited, suspended, or removed. AI outputs may contain mistakes. Teachers should review AI-generated lesson notes before sharing them with students or parents. Users should not use AI outputs as the sole basis for important decisions.

31-32. Copyright, uploaded materials, and security

31. Copyright and uploaded materials

Users must only upload materials they have the right to upload, use, share, or store. This includes sheet music, backing tracks, recordings, videos, PDFs, MusicXML files, MIDI files, worksheets, images, lesson plans, exam materials, and third-party resources.

SYNKii may remove content if it appears to infringe copyright, privacy, safety, or other rights. Teachers are responsible for ensuring that the materials they share with students are legally usable in their teaching context.

32. Security

Users must keep login credentials secure. Users must not share passwords or child login codes with unauthorised people. Users must notify SYNKii if they suspect unauthorised access, account misuse, or security issues.

SYNKii may take steps to protect accounts, including login controls, verification, access restrictions, suspension, deletion of malicious content, or security reviews.

33. Suspension and termination

SYNKii may suspend, restrict, or terminate access if a user breaches these Terms, a teacher provides false verification information, a user misuses child accounts, a user creates safety or safeguarding concerns, a user uploads illegal or harmful content, payments for a subscription fail, a user abuses staff or other users, the platform is used for fraud, spam, harassment, or security attacks, or continued access could create legal, safety, or operational risk.

Teachers may cancel their subscriptions according to the billing terms. Students and parents may stop using SYNKii or archive teacher relationships according to account settings.

34-35. Liability boundaries and indemnity

34. Liability boundaries

Nothing in these Terms excludes or limits liability for death or personal injury to any person caused directly by negligence on the part of SYNKii, or of its servants or agents.

We are not responsible for a teacher's independent lesson performance merely because the teacher uses SYNKii.

To the fullest extent permitted by law, SYNKii is not responsible and cannot be held liable for lesson quality, teaching outcomes, exam results, student progress, teacher suitability, refunds for teacher lesson fees, missed lessons, teacher cancellation policies, student cancellation policies, disputes between teachers and students or parents, teacher safeguarding compliance, teacher conduct outside the platform, content uploaded by users, inaccurate teacher profile claims, AI output mistakes, third-party service failures, loss caused by unauthorised account access where the user failed to keep credentials secure, or loss caused by misuse of recordings, materials, or messages by users.

SYNKii shall in no circumstance be liable to any party for any consequential losses suffered by that party or by any third party.

35. Business indemnity

If any party is a teacher or other business user they shall indemnify SYNKii in full against any third-party or other party’s claims made against them, to include indemnifying SYNKii in respect of its costs and expenses of defending such claims caused by that teacher or business user's unlawful content, infringement, false credentials, failure to obtain recording consent, or any other breach of the Terms hereof . No consumer indemnity is created by these Terms.

36. Changes to these Terms

SYNKii may update these Terms from time to time. We will identify the effective date and give reasonable advance notice of material changes. If a material change adversely affects a paid consumer service, any right to cancel before it takes effect will be explained.

Continued use after the effective date constitutes acceptance only where legally valid. If you do not agree to updated Terms, you should stop using SYNKii and may close your account subject to export, deletion, billing, legal, safety and operational limitations.

37-38. Governing law, disputes, and contact

37. Governing law and disputes

These Terms and any dispute in respect of them are governed by the laws of England and Wales and shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Before starting formal proceedings, all parties are encouraged to contact SYNKii at support@synkii.com so both sides can try to resolve the issue. Failure to take any such steps prior to commencing formal proceedings may be brought to the attention of any trial judge on the issues of costs or generally. Platform, safety, marketplace, review, badge and privacy complaints can also be made through Platform Safety, Reporting and Notices.
